Summer is a time to recharge—but ISOs, merchant level salespeople, payment processors, and the broader ecosystem of equipment and software vendors, security providers, VARs, ISVs and more, business doesn’t stop when the sun’s out and the beach beckons. With vacations looming, smart planning can ensure operations continue smoothly, clients remain supported and teams return refreshed. Here are some tips:
- For managers, the key is preparation and communication. As soon as possible, map out likely vacation dates and identify potential coverage gaps. Cross-train staff early and assign backup responsibilities in advance. To ensure continuity, encourage a “buddy system” where team members shadow each other prior to absences.
- Set realistic expectations and empower temporary leads to make timely decisions. When your people know the plan, they can relax—and perform—with confidence.
- If you’re going on vacation, make things easy for those stepping in. Draft a clear handoff document outlining current projects, client quirks, key deadlines and emergency contacts. Update shared calendars and project trackers so colleagues don’t waste time figuring out what’s what. And set your out-of-office message to route urgent issues to the right contacts. A little forethought will help your teammates shine—and lets you truly disconnect.
- If you’re filling in, take initiative early. Review the vacationing person’s accounts and tasks at least a week before they leave. Schedule a check-in to clarify responsibilities and discuss potential curveballs. Document what you learn—your future self (and your coworker) will thank you. And don’t hesitate to ask questions while the person you're temporarily replacing is still available.
- Sole proprietors face unique challenges. Consider informing clients in advance and framing time off as part of your long-term sustainability. Most will respect your boundaries. Schedule vacations during slower periods if possible, automate key processes, and explore temporary coverage through trusted peers or virtual assistants. Even a brief autoresponder that manages expectations can preserve client relationships.
With thoughtful planning and open communication, it’s possible to balance your need for rest while also taking care of your work duties—keeping your business strong while making space for joy, connection and renewal.
